OKbase in the Czech branch of the global Toyoda Gosei Group

Toyoda Gosei Czech, a leading manufacturer of automotive components and part of the global Japanese group of the same name, optimizes its HR processes with our OKbase solution.

The company can be found in the Verne industrial zone in Klášterec nad Ohří. They currently employ over 1,000 people in 4 production halls. They supply parts for cars of world brands such as Toyota, Porsche, Audi, Škoda or BMW.

They were looking for an effective tool for managing their human resources agenda that can also cope with the demands of an international environment.

"Although I did not experience the initial phase of selecting the system, I am convinced that the decision to choose OKbase was the right one," Lenka Kaftanová, HR Group Leader at Toyoda Gosei Czech, begins her story. "When OKbase was implemented in our company, neither I nor my colleague were in the company yet. I joined in 2017 and at that time OKbase was already a crucial tool for our department," adds Jana Dušková, Payroll Officer.

Everything under one roof

"What I personally appreciate is the broad scope of the system. We have everything under one roof and, of course, the ability to implement additional modules and integrate them with other tools. We try to use everything that OKbase offers and can do," says Lenka. From training records to employee appraisals to benefits administration - OKbase covers a wide range of HR processes. What's more, the system is constantly growing and evolving, with new features being added.

Jana adds, "When I joined, I did a small course in OKbase for accountants, which was good. As far as payroll is concerned, my advantage was that I had worked in a similar program in my previous company, so training was easier. But I have to say that OKbase is much better, it's great."

Hotline - always ready to help

One of the key factors in using OKbase for Toyoda is the hotline. "In this, too, our cooperation works well. The hotline is very important to us, just the alpha and omega of everything," says Lenka. "We appreciate that we can talk in Czech and with live people, that we are not communicating with a chatbot. We love your support people, they are a great support when dealing with various requests."

And what specific situations have they dealt with using the hotline? "The last time we needed advice on e-podání to the social security to report foreigners, we were missing some information. We wrote and everything was solved just by email. The support lady quickly advised us what to install and how, I made a few clicks and we were done," Lenka says.

Jana Dušková recalls a problem with erroneous statistical surveys: "I called the hotline and the lady on the line immediately told me where to look and what to check, that apparently not all payroll files were being loaded into the reports for statistics. It was great that she was able to tell me almost immediately what to do to correct the error."

What do they appreciate most about OKbase?

Both ladies agree that one of the biggest advantages of OKbase is the ability to file reports electronically with the social security office. “E-podání directly from OKbase is a fantastic feature. The reports are transferred to the social security portals with just one click. I can’t imagine doing that manually anymore with so many people,” says Jana.

Lenka appreciates the option to automatically distribute training sessions to employees: “A colleague on my team who handles training just clicks on the calendar and selects which people to send it to. That’s a feature from a completely different category. We organize a lot of external and internal trainings, and we’ve really come to like this function in our department because it saves us time.

Plans for further improvements 

Toyoda Gosei Czech has additional plans for OKbase. In the future, they want to enable remote access to the system for all production employees so they can track their attendance, vacation requests, and other information. “It would be very interesting for us if all our employees, including those on the production floor, could handle certain matters themselves, just like their office-based colleagues,” says Lenka.

Final evaluation

Since its implementation, OKbase has practically become an integral part of HR processes at Toyoda Gosei Czech. Thanks to its comprehensive scope, intuitive controls, and reliable support, it helps them manage HR tasks more efficiently and focus on what matters most—employee development and business growth.
